School bus tracking in Pakistan

The people who care most about this fleet are not in your office. They are standing at a gate, wondering.

Short answer

School bus tracking should do four things: send stop-level arrival alerts to parents a few minutes before the bus reaches them, record route timing compliance for every shift, enforce lower speed limits on residential roads than on main roads, and tie every trip to an identified driver. Live position on a map is the least important part.

The problem is anxiety, not logistics

Schools usually approach transport tracking as an operations project. In practice its largest return is on parent relations. A parent who does not know where the bus is will phone the school office, and one delayed bus can generate forty calls in twenty minutes.

Replace the uncertainty with an automatic notification and the calls largely stop. That is the change most schools notice first.

Stop-level arrival alerts

The mechanism is a geofence around each stop. When the bus enters the approach zone, the system sends a push notification or SMS to the parents assigned to that stop — typically three to five minutes of warning, which is enough to walk a child down without standing outside for twenty minutes.

Each stop is a zone. Crossing it triggers the notification to the families assigned to that stop.

Two design decisions matter here:

  • Parents should see their stop, not the whole route. Giving every parent a live map of every child's location is a safeguarding problem, not a feature.
  • Notifications should be quiet by default. Arrival, delay beyond a threshold, and route completion. Anything more becomes noise people mute, and a muted alert protects nobody.

Route timing compliance

For the school, the operational value is the plan-versus-actual comparison at the end of every shift: which stops were reached late, by how much, and where the time was lost. Over a few weeks that data tells you whether a route is genuinely too long or a particular driver is starting late.

It also gives you something to show a parent who complains, which is a better conversation than an apology with no facts in it.

Speed limits that vary by road

A single fleet-wide speed limit is close to useless for school transport. Fifty kilometres per hour is unremarkable on a ring road and unacceptable on a residential street outside a gate.

Zone-based limits let you set a lower threshold inside residential areas and near the school itself, with alerts that reflect genuine risk rather than firing constantly on the main road and being ignored.

Knowing who is driving

Driver substitution is common and rarely malicious — a regular driver is unwell and a colleague covers. But the school is responsible for who is behind the wheel of a bus full of children.

An RFID card or fob assigned to each driver records who started each trip, and can be configured to prevent ignition when an unrecognised card is presented. It also means driver conduct scores follow the person rather than the vehicle.

Cameras: proceed carefully

In-cabin cameras are technically straightforward and socially complicated. If you fit them, decide and publish three things before installation: who can view footage, under what circumstances, and how long it is retained. Schools that skip this step end up in a difficult conversation with staff and parents at the worst possible moment.

Rolling it out without alarming anyone

A sequence that works

  • Brief drivers first, in person, before any device is fitted
  • Run two weeks with the school seeing data and parents not, to fix stop positions
  • Write to parents explaining exactly what they will and will not see
  • Enable parent alerts one route at a time, not all at once
  • Review the first month's timing data with drivers, not at them

They can, but most schools deliberately limit it to arrival alerts and an estimated time for their own stop. Giving every parent continuous live location for a bus carrying other people’s children raises safeguarding concerns that outweigh the convenience.

Costs are the same structure as any fleet: a one-time device and installation charge per bus, plus a monthly per-vehicle subscription. Buses typically need a mid-range tracker with driver identification, and parent notification volume can affect the plan.

It changes behaviour in measurable ways. Zone-based speed limits and driver scoring reduce overspeeding on residential roads, driver identification removes uncertainty about who is driving, and timing data surfaces problem routes before they become incidents.
