What we collect, why we collect it, how long we keep it, and what you can ask us to do with it.

This document is a working draft prepared for VouchTrack’s website. It should be reviewed by your own legal counsel and adjusted to match how your systems actually operate before you rely on it. Sections marked [confirm] need a decision from you.

1. Who we are

Vouch Track (Pvt) Ltd ("VouchTrack", "we", "us") is a company registered in Pakistan with its head office at House No 15, Street No 26, Zakaria Town, Bosan Road, Multan. We are licensed by the Pakistan Telecommunication Authority to operate satellite-based vehicle tracking services, security systems and burglar alarms.

2. What we collect

Information you give us

  • Contact details — name, company, email address, telephone number, city.
  • Account details — usernames, hashed passwords, user roles and permissions.
  • Fleet information — vehicle registrations, makes, models, depots, routes, driver names and identification card numbers where you supply them.
  • Correspondence — messages you send us by form, email or WhatsApp.

Information collected by the tracking devices

Devices we install in your vehicles report:

  • Position, speed, heading and time.
  • Ignition state, engine hours and odometer readings.
  • Sensor readings you have chosen to fit — fuel level, temperature, door state, axle load.
  • Driver identification where an RFID reader is installed.
  • Device health — battery level, signal strength, tamper and power-cut events.

Information collected automatically on this website

  • Standard server logs — IP address, browser type, pages viewed, referring page.
  • Analytics data where you have consented, used to understand which pages are useful. [confirm — list the exact analytics tools once configured in assets/js/analytics.js]

3. Why we use it

  • To provide the tracking service you have contracted for — showing positions, generating trips, raising alerts and producing reports.
  • To operate the monitoring desk and respond to theft, tamper and SOS events.
  • To install, support and maintain hardware.
  • To invoice you and manage the commercial relationship.
  • To improve reliability and diagnose faults.
  • To respond to enquiries and, where you have asked us to, send you service information.

We do not sell personal data, and we do not use your vehicle location data for advertising.

4. A note about drivers

Tracking data describes vehicles, but it inevitably describes the people driving them. Where you are our customer and your employees are the drivers, you are responsible for informing them that vehicles are tracked, what is recorded, and how the information will be used.

We strongly recommend telling drivers before installation rather than after. It is both the fair thing to do and, in our experience, the approach that produces better results.

5. Who we share it with

We share personal and vehicle data only in these circumstances:

  • With you — the account holder and the users you authorise.
  • With service providers who help us operate — hosting, SMS delivery, mapping and connectivity providers — under contract and only as needed to deliver the service. [confirm — name your hosting, SMS and mapping providers]
  • With law enforcement where we are legally required to, or where you ask us to as part of a vehicle recovery.
  • In a business transfer, if the company or part of it is sold, with notice to you.

6. How long we keep it

  • Trip and event history: twelve months on standard plans, or the period agreed in your contract. [confirm]
  • Account and contact records: for the duration of the relationship and a reasonable period afterwards for legal and accounting purposes.
  • Website enquiry records: kept while we follow up, then archived or deleted.

7. How we protect it

  • Data is encrypted in transit between device, server and your browser.
  • Access is role-based, so users see only their own fleet and only the functions their role permits.
  • Sensitive commands, including engine immobilisation, are logged with the user and timestamp.
  • Our own staff access is limited to those who need it for support and monitoring.

No system is perfectly secure. If a breach affects your data we will tell you promptly and explain what happened.

8. Your choices

You can ask us to:

  • Tell you what personal data we hold about you.
  • Correct information that is wrong.
  • Export your data in a standard format.
  • Delete data we are not legally or contractually required to keep.
  • Stop sending you marketing messages — every message includes a way to opt out.

9. Cookies and similar technologies

This website uses only what it needs to function, plus analytics if you consent. We do not use advertising cookies. Your browser lets you block or delete cookies; the site remains usable if you do.

10. Changes to this policy

We will update this page when our practices change and revise the date below. Material changes affecting existing customers will be notified directly.
